Job Summary
The Executive Assistant provides high-level administrative, organizational, and communication support to the General Manager. This role manages complex calendars, coordinates meetings, events, travel, communications, and reporting, and serves as a trusted point of contact for internal and external stakeholders. The position requires strong judgment, discretion, confidentiality, attention to detail, and the ability to prioritize effectively in a dynamic operations environment.
Essential Functions
- Serves as a primary point of contact between the General Manager and internal and external stakeholders.
- Manages the General Manager’s calendar, including scheduling, meeting prioritization, travel logistics, and coordination of key engagements. Assists the site leadership team as directed.
- Coordinates company meetings and events, including logistics, meeting space, catering, materials, handouts, travel arrangements, and related communications.
- Books travel arrangements, including flights, lodging, ground transportation, and related itinerary details.
- Prepares, edits, and coordinates documents, reports, presentations, meeting summaries, correspondence, and other materials for a variety of audiences.
- Supports non-routine administrative projects, including special events, document coordination, mailings, packages, and other site or departmental initiatives.
- Handles confidential and sensitive correspondence, records, and information with discretion, accuracy, and professionalism.
- Responds to employee administrative inquiries and provides guidance or support to department leaders and administrative staff as needed.
- Maintains regular, timely, and effective communication with the General Manager.
- Demonstrates strong organizational, communication, interpersonal, and problem-solving skills.
- Comply with all company policies and procedures, including safety, environmental, confidentiality, and code of conduct requirements.
- Travel occasionally to Kettle River Operations locations as business needs require.
- Performs other duties as assigned.
Qualifications and Skill Requirements
- Minimum of five years of progressively responsible administrative experience preferred, preferably supporting senior leaders or management teams.
- Proficient with Microsoft Office applications, including Outlook, Word, Teams, Excel, and PowerPoint.
- Demonstrated ability to handle sensitive and confidential information with discretion and professionalism.
- Strong verbal, written, analytical, and persuasive communication skills, with the ability to interact professionally and effectively with employees and management at all levels.
- Ability to work independently and collaboratively as a member of the management support team.
- Strong administrative, organizational, technical writing, and document preparation skills.
- Ability to manage multiple priorities, meet deadlines, and adjust effectively to changing business needs.
- Working knowledge of administrative procedures, office practices, records management, and business communication standards.
- Working knowledge of grammar, punctuation, spelling, and style.
- Ability to use standard office equipment and technology, including phones, printers, copiers, and related business systems.
- Ability to function within the qualifications outlined in the attached physical demands sheets.
- Valid driver’s license and authorization to work in the United States.
