Job Summary
The Contract Specialist (CS) is responsible for contractual agreements pertaining to the procurement of materials, equipment, or services which support the business efforts of Kinross Fort Knox. The CS is responsible for contract lifecycle activities from source to contract award, including assisting in requirement definition, researching opportunities, soliciting RFX packages, leading RFX sourcing events, facilitating supplier due diligence reviews, preparing contracts from existing templates, awarding contracts, and contract close out procedures when contract obligations are complete. All sourcing and contracting activities are executed using SAP Ariba.
Offers are solicited from existing sources, vendor databases, or new sources through advertisements, trade publications, local and regional chambers of commerce, industry whitepapers, etc. The CS will be made aware of company business goals and policies and will negotiate the best value for products and services while monitoring associated risks. The CS will collaborate with end users and will work under the supervision of the Alaska Senior Purchasing Supervisor, with guidance from Kinross Global Supply Chain and input from Kinross Legal departments (Regional and Corporate).
The CS will evaluate commercial terms and prepare contract award packages based upon the respective managers’ technical recommendations and documented commercial evaluation results. During contract performance, the CS is responsible for monitoring the parties’ mutual adherence to the terms of the contract, including progress, plans, submittals, change procedures, and commercial performance incentives, as well as supporting end users who are accountable for contract controls, invoice review, budgetary cost controls, and change order execution within their applicable delegation of authority.
Essential Functions
- Oversee, in coordination with Supply Chain team members, contracts for the purchase of equipment, materials, products, services, software, and construction by utilizing SAP Ariba or JD Edwards.
- Review performance requirements, delivery schedules, and cost estimates to ensure completeness and accuracy.
- Compile data to support cost and price analyses, as required.
- Prepare RFX packages, specifications, exhibits, test requirements, progress reports, and other solicitation documents to ensure high quality competitive sourcing events.
- Review bids and proposals for compliance with RFX requirements and determine commercial acceptability.
- Manages proposal review and evaluation process.
- Plan, schedule, and facilitate post bid clarification or negotiation meetings with selected vendors and internal technical stakeholders, as required.
- Negotiates contract terms and conditions with selected vendors, as appropriate.
- Advises applicable end-users of contractual rights and obligations upon award decision and contract start.
- Ensure the collection, review, and disposition of required certificates of insurance and performance bonds.
- Monitor Contractor compliance with the terms and conditions of the contract during performance through communications with end-user.
- Verify all parties have fulfilled their contractual obligations and final acceptance of goods or services has been approved by Project Manager or applicable Operational Manager.
- Document vendor performance, as applicable.
- Identify and document lessons learned to support continuous improvement in contracting practices.
- Close contract files, as applicable
- May supervise hourly employees.
- Punctuality and regular attendance is required.
- Meet or exceed established performance expectations set by management.
- Comply with all company policies and procedures, including but not limited to: safety, confidentiality and environmental policies.
- Possession of a valid driver’s license issued by the state.
- Work safely in all areas and identify potential safety hazards and work with management to correct them.

Qualifications and Skill Requirements
- Ability to interpret and implement policies and procedures, perform basic mathematical calculations, and maintain accurate records.
- Bachelor’s degree in Supply Chain, Contract, Finance, Engineering, or a related field, or equivalent progressive experience in contract administration, purchasing, or procurement.
- Preferred 2+ years’ experience in contracting, purchasing, or supply chain roles.
- Preferred experience in heavy industrial industries (e.g. Oil and Gas, Construction or Mining) or related Project Management or Engineering professions (any discipline) of at least 6 months preferred
- Proficiency with Microsoft Office (Excel, Word, Outlook, & Access).
- Proficiency with SAP Ariba and JD Edwards for sourcing and contract lifecycle management and the ability to use company-mandated contract templates.
- Demonstrated ability to work independently while collaborating effectively within a team environment.
- Ability to function within the qualifications outlined in the attached physical demands sheets.
- May work holidays, weekends, and shift work as required.
