Job Summary
This position is based out of the Maintenance department and provides essential administrative support to both the Maintenance and Mine Operations teams. The Administrative Assistant is primarily responsible for compiling and entering data, maintaining records, and supporting daily workflows. Key duties include tracking work order information, preparing reports, coordinating safety meetings, assisting with logistics, and responding to routine questions. This role plays an important part in keeping both departments organized and on track by ensuring information is accurate, up to date, and accessible. The ideal candidate is detail-oriented, dependable, and comfortable working with data, systems, and a variety of people in a fast-paced mining environment.
📅 This position follows a 4/10 schedule, Monday through Thursday, and is based primarily on the mine site.
Essential Functions
• Adhere to all MSHA and safety rules.
• Perform routine data entry and administrative tasks using Microsoft Office and internal systems
• Enter and maintain accurate work order data, including labor time tracking and time management compliance
• Assist the planning department with work order closure and system updates
• Collect, input, and summarize operational data (e.g., equipment availability, fuel usage, meter hours) and generate related reports and schedules
• Review and route equipment inspection cards for backlog entry into the work order system
• Maintain organized records, logs, and department files (e.g., PMs, work orders, fuel logs, equipment hours, vacation/PLP requests), and assist with invoice processing and payment tracking
• Act as a liaison between employees and HR to support communication and assist with common questions related to policies, procedures, and resources
• Create service tickets and submit requests for system access for new and current employees
• Coordinate monthly safety meetings, including scheduling, communication, and preparation of PowerPoint materials
• Assist with logistics and coordination for accommodations, events, travel, and other departmental needs
• Provide flexible administrative support across both Maintenance and Mine Operations, assisting with various tasks as needed
• Meet or exceed established performance expectations set by management.

Qualifications and Skill Requirements
• High school diploma or equivalent required; post-secondary coursework preferred
• 1+ year of administrative or general office experience preferred
• Employee must possess the ability to read and write instructions, perform simple mathematical calculations, and keep records.
• Strong computer proficiency, including Microsoft Word, Excel, Outlook, and PowerPoint
• Accurate keyboarding and data entry skills
• Prior experience in mining, construction, or manufacturing is desired, but not required
• Experience with maintenance or operations software (e.g., SAP, JDE, or CMMS) is an asset
• Excellent verbal and written communication skills with strong attention to detail
• Ability to manage multiple tasks, prioritize effectively, and meet deadlines
• Professionalism, confidentiality, and strong organizational skills required
• Ability to work independently and collaboratively within a team
• Regular attendance and punctuality are required
• Valid driver’s license required
