Purpose of Role

Working closely with the Global Equity Plans Lead, provides ongoing administration and support for the global equity plans (long-term incentive plans and the Employee Share Purchase Plan). Provides support and analysis on executive compensation and VP total rewards. Administers executive benefits and pension and supports global benefits and pension. Administers the survey submission and analysis system and provides support to the Global Total Rewards team on global compensation, as needed.

Key Duties & Responsibilities

Supports and Administers Global Equity Programs
a)    Understands the global equity plans, including restricted share units (cash-settled and equity settled), performance share units, stock options, and employee share purchase plan (“ESPP”), and is very familiar with the plan terms and rules. Has an awareness of general market trends and best practices.
b)    Under the general oversight of the Global Equity Plans Lead, completes regular and standard processes associated with equity plan administration, working closely with the third party vendor as needed, and ensuring accuracy and timeliness in all processes, including:
•    Setting up employee accounts in the third party equity plan administration solution (“EPAS”)
•    Updating employee demographics in EPAS
•    Preparing materials for submissions to the Human Resources and Compensation Committee (“HRCC”) for new grants
•    Loading new grants and advising regional total rewards of communications required
•    Processing vesting and option exercises including reviews of the data in advance, communications to regional total rewards and providing reports to payroll to update compensation and taxes
•    Processing terminations
•    Reviewing data and managing quarterly share purchases for the ESPP
•    Processing changes to permissions for Total Rewards and HR members to EPAS
•    Ensuring insider trading information is provided to Legal in a timely manner
•    Providing reports to global mobility and the global mobility tax services provider to enable tax calculations and reporting
•    Tracking on-hire, promotion, retention or other special grants
c)    Supports the Global Equity Plans Lead in preparing analysis and reports such as:
•    Equity tables for the annual proxy circular
•    Annual reports to the HRCC, including executive share ownership and stress testing
•    Other analysis or reports as required for terminations, share plan projections, etc.
d)    Assists with the development and updating of communication and training materials for employees and HR teams. Serves as a key point of contact for global HR teams on equity plan administration matters and use of EPAS.
e)    Reviews all monthly bills for completeness and accuracy, ensuring appropriate charges and processes for payment.
f)    Supports the Global Equity Plans Lead on projects relating to the equity plans, including compliance reviews and implementations for new countries, improvements to programs and processes, etc.

Supports Executive Compensation & VP Total Rewards

a)    Prepares analysis, reports and materials, and provides ongoing support and administration on all matters relating to Executive Compensation and VP Total Rewards.
b)    Researches information, compiles/analyzes data and assists with the preparation of materials for the HRCC including peer group analysis, compensation data analysis, compensation program review, stress test, realizable pay, etc.  
c)    Works on the tables and text for the annual proxy circular
d)    Supports the annual compensation review for VPs, including compiling and analyzing data, market pricing, salary ranges, preparation of materials, etc.
e)    Assists with the preparation of materials for the annual VP compensation meetings
f)    Participates in, submits and tracks compensation surveys
g)    Supports the Executive Compensation Lead as needed with other analysis, ongoing administration, work and projects such as compensation recommendations, termination protection, tracking of severance packages, VP job codes in JDE, reporting, etc.

Executive & Global Benefits & Pension
a)    Has a detailed understanding of the Executive (SLT) Benefits, including ERAP, additional life, disability & AD&D insurance, benefits reimbursement plan, HCSA, etc. Works closely with broker, trustee (for ERAP) and vendors to ensure compliance with plans, and appropriate benefits are in place for each SLT member at all times. Communicates with SLT and Executive Assistants about the programs. Processes invoices and reimbursements in a timely manner. Completes reporting for the HRCC and the annual proxy circular relating to Executive Benefits. 
b)    Supports work on the Canadian retirement plan and VP pension plan, as required, including review and corrections for the Canadian retirement plan and the VP pension audit. 
c)    Has a general understanding of Kinross’ global retirement plans and benefit programs. Supports work on global plans as required, including program reviews, market analysis, design and establishment of new programs, etc. Participates in projects as required.


Survey Submission and Analysis System 

Administers the compensation survey submission and analysis system, including:
a)    Serves as system administrator
b)    Serves as primary contact / interface with the vendor
c)    Updates employee data annually
d)    Ensures survey reports are loaded into the system on a timely basis as they become available
e)    Assists regional total rewards leads with using the system to complete compensation survey submissions, including providing training as required and managing access
f)    Ensures the system is meeting the needs of each user

Supports Global Total Rewards Team
Supports global role profile and global job codes update
a)    Supports compensation data review (variable pay and LOA file for STI), training materials, quick guides, calibration review and reporting for annual compensation review
b)    Assists team as appropriate / necessary on job evaluations, compensation recommendations, compensation reviews, survey submissions, etc.
c)    Participates in global rewards projects as required, including compensation systems, retirement programs, executive compensation and benefits, HR analytics and reporting, etc.

Required Qualifications

•    Bachelor’s degree in Business Administration, Finance, Human Resources Management or another related area of expertise
•    CCP or CHRP certification preferred 
•    2 to 3 years in compensation
•    Previous experience with equity plans and/or executive compensation a plus
•    Previous experience in the mining industry a plus
•    Experience partnering with HR / business management on compensation matters
•    Excellent numerical and analytical skills, and a strong attention to detail
•    Comfortable working with systems; excellent Excel skills
•    Good verbal and written communication skills 
•    Excellent customer service and relationship management skills
•    Good project management skills
•    Sense of urgency and ability to deliver accurately to tight deadlines
