Job Description

The Administrative Services Coordinator provides cross coverage best practice alignment and support for administrative assistants of groups and departments across the Fort Knox Mine.  Provides Kinross based training, maintains records and files, timekeeping services, computer input, time keeping, tour and event coordination and other related duties as assigned. Supports the General Manger and other department managers who do not have dedicated administrative support. Continues to improve and streamline the administrative processes and continuously align daily functions to reflect Kinross’ values.

Job Responsibilities

  • Provide advice and assistance to various departments’ administrative representatives.
  • Maintain departmental records and files and retrieve information as required.
  • Coordinate PTO coverage of administrative support across departments and the delegation of larger work projects.
  • Maintain electronic filing systems for various departments to fulfill obligations of permitting, reporting and general record upkeep.
  • Maintain timekeeping and balancing responsibilities in Worforce Dimensions.
  • Maintain safety and training records and assist in organizing regular safety meetings for the group.
  • Coordinate school tours and assist with other community tours as requested.
  • Champions and may serve as the main point of contact for on-site or other internal events or campaigns such as Annual MSHA refresher, Family Day, LOVA, Workforce Management, wellness programs and Clean-up Day.
  • Serve as a Log keeper during EMQ Crisis Communication trainings or actual events.
  • Coordinate and champion external site sponsored events as requested.
  • Keep Admin lunchroom and Main Conference room stocked.
  • Use JDE to create, manage and release work orders and requisitions.
  • Maintain monthly and yearly work orders for multiple departments.
  • Attend meetings and prepare minutes as requested by departments.
  • Estimated travel based on current job requirements is (5-10%).
  • Helps develop and train other department personnel to perform duties and functions listed above and new ones as they arise.
  • Oversees the delegation of office space and the approval process.
  • Provides input on other administrators’ reviews.
  • Punctuality and regular attendance is required.
  • Possession of a valid driver’s license issued by the state.
  • Work without significant risk of harm to self and others.
  • Perform other duties as required.
     

Education and Experience

  • High school diploma or equivalent preferred.  Employee must have sufficient education to read and write instructions, perform simple mathematical calculations, and keep records.
  • Five (5) plus years of related work experience.
  • General understanding of exploration operations.
  • General understanding of mining operations, as well as limited understanding of milling and maintenance operations.

Skills

  • Working knowledge and skill with P.C. utilizing work processing, spreadsheet, database, and presentation software.
  • Strong verbal, written, analytical, and persuasive skills and the ability to interact effectively with all levels of employees and management.
  • Must be a self-starter with the ability to work independently and as a member of the shared services team.
  • Demonstrates strong administrative, organizational and technical writing skills.
  • Must be available for shift work, overtime, holidays, and weekends.
