Job Description

The Contract Administrator (CA) is responsible for all the contractual agreements pertaining to the procurement of materials, equipment or services that support the business efforts of Kinross, Bald Mountain. CA is responsible for the entire lifecycle of the contract including defining the requirements, researching opportunities, negotiating with sources, writing contracts, awarding contracts and close-out when the contract terms are completed. The CA ensures that the contract complies with any applicable state or labor requirements as well as company policies. CA will be cognizant of company business goals and negotiate the best prices for products and services while monitoring any associated risks. The CA will work closely with Kinross Global Supply Chain as well as Bald Mountain Materials Superintendent, site management and Kinross legal departments (Regional & Corporate). The CA will respond to purchase requisitions by defining and justifying the expense. Bids and proposals are solicited from existing sources or new sources through advertisements, trade publications, etc. Contract administrators evaluate terms and award the contract. During a contract, the CA is responsible for monitoring the terms of the contract including progress, plans, invoices and payments. Any change orders, modifications or disputes are addressed by the CA.

Job Responsibilities

  1. Directs activities in conjunction with the Bald Mountain Materials Superintendent concerning contracts for purchase or sale of equipment, materials, products or services: Examines performance requirements, delivery schedules, estimates of costs of materials, equipment and production to ensure completeness and accuracy.
  2. Prepares bid documents, process specifications, test and progress reports (as applicable), and other exhibits that may be required.
  3. Reviews bids for conformity to contract requirements and determines acceptability of each bid.
  4. For construction services contracts, plans, schedules and chairs post-bid reviews with selected contractors.
  5. Negotiates contract with successful bidder(s).
  6. Advises applicable departments (within KGMI) of contractual rights and obligations.
  7. May compile data for preparing estimates.
  8. Verify that the Contractor or Vendor complies with all the terms and conditions of the contract documents.
  9. Verify Contractor performance for purposes of payment.
  10. Determine acceptable performance levels.
  11. Develop schedule for Statement of Work
  12. Monitor Contractor performance of specified frequency.
  13. Meet with Contractor on regular basis to review progress, discuss problems and negotiate change order costs.
  14. Ensure that all services have been received in compliance with specifications prior to authorizing payments.
  15. Identify materials breaches of contract.
  16. Ensure the collection, review and maintenance of any/all required certificates of insurance and performance bonds.
  17. Verify all parties have fulfilled their contractual obligations.
  18. Assess the success of the contract.
  19. Determine and identify “lessons learned” for future contracting.
  20. All deliverables (including reports) have been received and accepted.
  21. Any contract oversight issues have been resolved.
  22. Final payment has been made.
  23. Confirm that all inventory and property issues are resolved and final acceptance of goods/services has been approved by Project Manager or applicable Operational Manager.

Education and Experience

  1. Bachelor’s degree in Business Administration or Business Management or equivalent experience with increasing levels of responsibility.
  2. Strong background in construction contract administration is required.
  3. Candidates should have 5 to 10 years’ experience as a contract administrator.
  4. Must have strong leadership, negotiation, communication and interpersonal skills.
  5. Proficiency with Microsoft Office (Excel, Word & Access)
  6. Proficiency with ERP systems (preferably JD Edwards) as well as the ability to use company mandated contractual templates.
